2.1 Information You Provide Directly

- Make a purchase — billing name, email address, and payment information (processed securely by our payment processor; we do not store your card details)
- Complete an intake or booking form — name, contact details, and background information relevant to the coaching context, such as your goals, life circumstances, and prior experience with coaching or non-ordinary states
- Contact us by email or through a contact form — name, email address, and message content
- Attend a session — session notes and summaries, kept securely and not shared with third parties
Please note: we do not collect medical history, clinical diagnoses, or health records. We are a coaching practice, not a healthcare provider. Our intake forms ask about your goals and coaching context only.
2.2 Information Collected Automatically
When you visit our website, certain technical information may be collected automatically, including:

4.1 Standard Service Providers
- Website hosting and platform infrastructure provider
- Payment processor — secure, PCI-compliant payment processing; we do not store card details
- Appointment scheduling tool — for booking and session management
- Secure video conferencing platform — for delivery of coaching sessions
- Email service provider — for booking confirmations and client communications
4.2 Session Transcription — Tactiq
Sessions may be transcribed using Tactiq (tactiq.io), an AI-powered transcription service. You are informed of this before any session is transcribed, and your explicit consent is obtained in your coaching agreement. Key points:
- Tactiq transcribes in real time as text only — audio is not recorded or stored
- Transcripts are stored privately and are accessible only to the practitioner
- Client names in transcripts are pseudonymised using initials or a reference code, not full legal names
- Raw transcripts are deleted once a session summary has been produced
- Tactiq is SOC 2 Type II certified. Their privacy policy is available at tactiq.io/privacy/privacy-center
4.3 AI-Assisted Session Summaries
Session summaries may be generated with the assistance of AI language model tools. Before any session content is processed through an AI tool, it is pseudonymised — no full legal names or directly identifying information is included. AI tools we use are configured to prevent client data from being used to train AI models. All AI-generated summaries are reviewed and edited by the practitioner before being retained.
All third-party providers are required to handle your data securely. We do not authorise them to use your data for their own marketing purposes.
5. Session Confidentiality
Everything shared in a coaching session is held in strict confidence in accordance with professional coaching ethics. Session notes and summaries are stored securely and are not shared with any third party without your explicit consent.
There are limited circumstances where confidentiality may need to be set aside: where we are required to do so by law or valid court order, or where there is a serious and credible risk of harm to you or another person. In such cases, we will take the minimum action necessary and, where possible, will inform you beforehand.
Substance use disclosures: any information you share about past, planned, or current use of controlled substances is held in confidence within this coaching relationship. We do not report substance use to law enforcement or any regulatory authority. This confidence does not extend to situations involving imminent risk of harm as described above.
For Group Integration Circle sessions, other participants will be present. We ask all group members to respect the confidentiality of what is shared in the group, but we cannot guarantee the conduct of other participants.
6. Data Storage & Security
All client records are stored in password-protected, encrypted digital storage accessible only to the practitioner. We take reasonable technical and administrative measures to protect your personal information from unauthorised access, loss, or disclosure, including:
- SSL/TLS encryption on all data transmitted through our website
- Secure, encrypted video conferencing for all sessions
- Password-protected client storage with restricted access
- Payment data handled exclusively by PCI-compliant third-party processors
No online system is completely secure. In the event of an unauthorised access to or breach of your personal information, we will notify you without unreasonable delay in accordance with Arizona’s Data Breach Notification Law (A.R.S. §§ 18-551 and 18-552).
7. How Long We Keep Your Information
We retain your personal information only for as long as necessary:
- Client account and purchase records — retained for 7 years to meet legal and financial record-keeping obligations
- Session notes and summaries — retained for 7 years following the end of the coaching relationship, then securely deleted
- Intake and booking form submissions — retained for the duration of the coaching relationship
- Raw session transcripts — deleted once a session summary has been produced
- Website analytics data — retained in aggregated, anonymised form for up to 26 months
When data is no longer required, it is securely deleted or anonymised.
8. Cookies
Our website uses cookies — small files stored on your device — to make the site function correctly and to understand how it is used. We use the following types:
